Client Notes Template

Client notes have two readers: the client, who gets the recap, and you in six months, who needs the history. This template splits every meeting into a shareable recap and a private section, and links it to one note per client that works as a lightweight personal CRM.

Examples for different situations

The same structure, filled in for the situations people actually bring to it. Copy the one closest to yours.

1.Agency status call where scope starts to creep

When it fits: Use this when you run a monthly call on a retainer, the client asks for something that is not in it, and you need the recap to record the request without agreeing to it.

Agency status call where scope starts to creepExample 1

Fernbrook Garden Centers monthly status, 2026-11-03

Client: [[Fernbrook Garden Centers]] Attendees: Lucy Adair (marketing manager), Rob Tenney (owner, last 15 min) / Mateo Ferraro, Jade Liu Type: status Goal: sign off the December email plan and review October results.

Recap (shareable with the client)

What we heard

  • October: email revenue 18,400 dollars, up 22 percent on September, mostly from the bulb sale.
  • Lucy wants the December plan to push gift cards harder than last year; gift cards were 9 percent of December 2025 sales.
  • Rob asked for a TikTok campaign for the Christmas tree lot.

Decisions

  • December plan approved with four sends, two of them gift-card led, because gift cards have the best margin and the shortest delivery window problem.

Commitments

  • Final December email designs to Lucy (@Jade) @due(2026-11-14)
  • Gift-card landing page copy (Lucy) by Nov 10

Conditional or out of scope

  • TikTok campaign: not in the current retainer. We will send a separate quote by Nov 7. It can launch Dec 1 only if approved by Nov 12.

Next meeting: 2026-12-01, agenda owner: Mateo

Private (never sent)

  • Read of the room: Rob decides on spend; Lucy decides on everything else. Rob raised TikTok after seeing a competitor's videos.
  • Risks: if we absorb TikTok into the retainer this year, it becomes the expectation next year.
  • Commercial: retainer 4,500 dollars a month, renews Feb 1. TikTok quote around 3,000 dollars one-off.
  • Update for the client note: Rob now joins calls; send him a three-line summary, not the full recap.

2.Sales discovery call

When it fits: Use this when you are selling, the first call decides whether there is a deal at all, and the CRM entry and the follow-up email both come from these notes.

Sales discovery callExample 2

Bayview Dental Group discovery call, 2026-11-06

Client: [[Bayview Dental Group]] Attendees: Dr. Helen Park (owner), Victor Sousa (operations manager) / Callum Reid Type: sales call Goal: find out if online booking across their clinics is a real project this quarter.

Recap (shareable with the client)

What we heard

  • 9 clinics, 31 dentists, front desks book by phone. Victor estimates 120 missed calls a week across all sites.
  • Current system: a practice-management tool with no patient-facing booking.
  • Helen wants new-patient bookings online first; existing patients second.

Decisions

  • Pilot proposal for 2 clinics, because Victor wants to measure missed calls before and after on a small set.

Commitments

  • Pilot proposal with pricing for 2 clinics (@Callum) @due(2026-11-11)
  • Integration check with their practice-management vendor (@Callum) @due(2026-11-13)
  • Missed-call numbers for the two pilot sites (Victor) by Nov 13

Conditional or out of scope

  • SMS reminders: looked into, not promised. Helen asked; our SMS add-on depends on their vendor's API, which we are checking.

Next meeting: 2026-11-18, agenda owner: Callum

Private (never sent)

  • Stakeholders: Helen signs. Victor runs the evaluation and will be the daily user. Their IT is an outside contractor, not on the call.
  • Budget: Helen said "under 2,000 a month for all nine" unprompted. Our list price for nine clinics is 2,340.
  • Timeline: wants the pilot live before the January new-patient rush.
  • Objections: Victor worries about double bookings if the integration lags. Answer with the vendor check, not reassurance.
  • Next step risk: no IT contact yet. Ask for one on Nov 18.

3.Escalation call after a missed date

When it fits: Use this when the client is upset, the call is about rebuilding trust as much as fixing the problem, and every word of the recap will be read closely.

Escalation call after a missed dateExample 3

Kestrel Legal email migration escalation, 2026-11-12

Client: [[Kestrel Legal]] Attendees: Graham Whitlock (managing partner), Fiona Shaw (office manager) / Sunita Rao Type: escalation Goal: agree a new migration date and how the firm will be kept informed.

Recap (shareable with the client)

What we heard

  • The migration was due Nov 8 and did not happen. Graham learned this from his staff on Monday, not from us.
  • Two partners have a court filing on Nov 20 and cannot lose email access that week.
  • Fiona needs a date she can announce to all 34 staff.

Decisions

  • New cutover: Saturday Nov 22, 08:00, after the filing, because a weekend cutover keeps the partners' inboxes stable during the filing week.
  • Daily written status to Graham and Fiona at 17:00 until cutover, because the slip was made worse by silence.

Commitments

  • Daily status email at 17:00 (@Sunita) @due(2026-11-21)
  • Test migration of 3 mailboxes with Fiona's sign-off (@Sunita) @due(2026-11-18)
  • Staff announcement with the new date (Fiona) by Nov 14
  • Credit of one month's support fee on the December invoice, as offered on the call (@Sunita) @due(2026-12-01)

Conditional or out of scope

  • Mailbox archive cleanup: looked into, not promised. Fiona asked; quote after cutover if still wanted.

Next meeting: 2026-11-19, go or no-go for cutover, agenda owner: Sunita

Private (never sent)

  • Read of the room: Graham was angrier about hearing it secondhand than about the delay. Fiona is the ally; keep her informed first.
  • Root cause: we waited on their domain registrar for 4 days and did not tell them. Write this into our own process note.
  • Commercial: support contract renews in March. This call decides it.
  • Update for the client note: Graham wants bad news by phone, same day.

4.Client note as a personal CRM

When it fits: Use this as the one note per client that every meeting links to, when you are a freelancer or consultant and a spreadsheet CRM is more than you will keep up to date.

Client note as a personal CRMExample 4

Okapi Coffee Roasters

Relationship: client since March 2026, brand and packaging design Status: active, second project Tags: #client #retail

People

  • Jamal Price, founder. Decides. Prefers calls before 10:00, hates long decks.
  • Sienna Ward, operations. Owns print vendors and deadlines. Replies fastest on email.

What they care about

  • Shelf presence in two grocery chains they are pitching in Q1 2027.
  • Keeping print costs under 0.40 dollars per bag.

Projects and money

  • Brand refresh, March to May 2026, 14,000 dollars, paid.
  • Seasonal packaging, Nov 2026 to Jan 2027, 6,500 dollars, 50 percent invoiced.

Open threads

  • Send three winter bag directions (@me) @due(2026-11-14)
  • Ask Sienna for the printer's dieline before final art (@me) @remind(2026-11-17 09:30)

History

  • 2026-11-04 seasonal kickoff: Jamal wants one design, not three, if the grocery pitch slips.
  • 2026-06-20 Jamal referred me to another roaster. Thank him in person.
  • Meetings: see backlinks.

Last touch: 2026-11-04. Next touch: 2026-11-14 with the three directions.

5.Contact note after meeting a prospect

When it fits: Use this when you met someone at a conference or through an introduction, there is no project yet, and you want to remember why they mattered when you follow up in three weeks.

Contact note after meeting a prospectExample 5

Beatriz Moreno, Solano Solar

Met: 2026-11-19, regional energy trade show, at the panel on installer software Role: head of operations, Solano Solar, about 60 installers across two states Introduced by: none, she asked a question after my talk Tags: #prospect #energy

What she said

  • Their install crews lose about an hour a day to paperwork after each job; permits and photos go to the office by text message.
  • They tried a field-service app in 2025 and dropped it after crews refused the logins.
  • Budget season for them is January.

Why it matters

  • Same problem as my last two operations projects. A good fit for a two-week process audit.

What I promised

  • Send her the one-page summary of the audit approach (@me) @due(2026-11-21)
  • Follow up before their January budget meeting (@me) @remind(2026-12-08 10:00)

Next touch

  • 2026-12-08: ask if the paperwork problem made the January list.

Who this page is for

Search for a client notes template and most results are for therapists writing progress notes. This page is for the other kind of client: the one who hires a consultant, an agency, a freelancer or a salesperson. If you need clinical progress notes in SOAP or DAP format, this is not that template.

What belongs in client meeting notes

Client notes have to serve two readers who want different things. The client wants a short, accurate recap of what was agreed. You, months later, want the full picture: who really decides, what they asked for that you declined, why the relationship cooled in March. The template above serves both by splitting each meeting into two parts.

  • Goal of the meeting. One line about what you need to leave with. It keeps a status call from becoming an hour of updates.
  • What we heard. The client's priorities and numbers in their words. Quoting them back in the recap is what makes the recap trusted.
  • Decisions with reasons. The reason stops the decision being reopened by someone on their side who was not on the call.
  • Commitments on both sides. Yours with an owner and a due date, theirs with a name and a date. Projects slip on the client's commitments as often as on yours.
  • Conditional or out of scope. The section most templates skip and the one that prevents most disputes.
  • Private. Your read of the room, risks and commercials. Never sent.

Recap and private notes are different documents

The safest moment to decide what the client will see is before the call, not after. If you take one stream of notes and edit it into a recap later, a private line eventually ends up in an email. Writing into two sections live means the recap can go out as written within the hour, and the private section never has to be scrubbed.

One note per client: a lightweight personal CRM

Meeting notes are events. The client note is the state of the relationship: the people, what they care about, money, open threads, and when you last and next spoke. Each meeting links to it, so the client note's links are the full history without copying anything.

For freelancers and small consultancies, this is often enough CRM. The test is simple: before any call, can you open one note and know who you are talking to, what is open, and what you promised last time? The fourth and fifth examples show a client note and a contact note for someone who is not a client yet.

Common mistakes

  • No recap sent. The client's memory becomes the record, and it favors them.
  • Agreeing to scope by not saying no. A request with no label in the recap reads as accepted.
  • Only your commitments. Write theirs down too, with a date.
  • Private comments in the shared note. Keep them in their own section from the start.
  • No next touch. Relationships go cold between projects because nobody set a date to follow up.

When to use a different template

An internal team meeting with no client present fits the meeting notes template. The first meeting of a new engagement is better served by the project kickoff meeting template, and the written update you send between calls by the project status report template. When an account moves to a colleague, the handoff document template turns the client note into a handover.

Customization tips

  • Decide the split before the call

Sanitizing a full set of notes into a client recap afterwards is where private comments leak into emails. Write into the Recap and Private sections live, so the recap can be sent as written.

  • Write conditions and dates, not maybes

"We could probably do TikTok" turns into a promise in the client's memory. "Separate quote by Nov 7, launch Dec 1 only if approved by Nov 12" does not. Every conditional item gets its condition and its date.

  • Record out-of-scope requests on purpose

A request you looked into but did not agree to still goes in the recap, labeled as such. When the client remembers it differently in two months, the recap they received is the record.

  • Add sales fields for sales calls

For a sales call, the Private section grows: stakeholders and who signs, budget, timeline, objections, and the next-step risk. These are the fields a CRM entry needs, so fill them here and copy them once.

  • Keep the client note short and current

The client note is people, what they care about, money, open threads and last and next touch. History is one line per meeting with the thing you would otherwise forget. Long history lives in the linked meeting notes.

In the app

How to do this in Scribelet

  1. Open Desk Settings, then Templates, tap Add Template and paste the template above. Set the category to Meeting, add #client as a default tag, and keep {{date}} in the title.

  2. Create one note per client, like the Okapi example, and link it from every meeting with [[Okapi Coffee Roasters]]. The client note's backlinks panel lists every meeting, newest first. That is the personal CRM, without a separate tool.

  3. Write follow-ups as - [ ] Follow up (@me) @remind(2026-12-08 10:00). Scribelet sends a push reminder at that local time, and open items show in the Tasks view across all clients.

  4. Before a renewal call, ask the AI chat "what has Fernbrook asked for this year that was out of scope?" It answers from your client notes with citations to the meetings.

  5. After a client visit, record a voice note. Scribelet transcribes it and structures it into a note with headings and action items you can paste into the recap.

  6. Keep client work in its own desk. Each desk is encrypted at rest with its own key, which suits notes that contain other people's budgets and opinions.

Templates, template variables and AI generation are documented in Note templates.

Frequently asked questions

What should client meeting notes include?

Who attended and in what role, what the client told you in their own words, decisions with reasons, commitments on both sides with dates, anything conditional or out of scope, and the next meeting. Keep your private read of the account in a separate section that is never sent.

Should I send meeting notes to the client?

Send the recap section the same day, ideally within a few hours. It confirms what was agreed while everyone still remembers, and it becomes the record if expectations drift later. Never send the private section; write it so that it cannot be sent by accident.

What should sales call notes include?

The client's situation and problem in their words, stakeholders and who signs, budget, timeline, objections, what each side committed to, and the next step with a date. The second example on this page shows all of them on one discovery call.

How do I keep a personal CRM in a notes app?

One note per client or contact with people, what they care about, open threads and last and next touch, as in the fourth example. Every meeting note links to it, so the links become the history. Add a reminder for the next touch so it does not depend on remembering.

Is this a template for therapy or counseling client notes?

No. This page is for client work in consulting, agencies, freelancing and sales. Clinical progress notes (SOAP, DAP, BIRP) have their own documentation and privacy requirements and need a tool built for them.

Handoff Document Template

A handoff fails on the things nobody wrote down: the promise made in a hallway, the decision half made, the warning sign only the outgoing person knows. This handoff document template has a section for each, and ends with a read-back so you know the handover landed. Copy it, or start from the handover notes example closest to yours.
